1. Introduction
These Terms and Conditions (“Terms”) govern all bookings and travel arrangements made with Loop My Travel (“Company,” “we,” “us,” or “our”). By booking any trip, package, or service with us, you (“Client” or “you”) agree to be bound by these Terms. Please read them carefully before confirming your booking.
2. Scope of Services
Loop My Travel specializes in:
Group Tours – Fixed departures and guided trips to domestic & international destinations.
Customized Holidays – Tailor-made itineraries designed as per your travel preferences.
Adventure & Experience-Based Trips – Backpacking, biking, wellness retreats, and cultural experiences.
3. Booking & Payment Terms
Booking Confirmation
A minimum deposit (based on destination type – short haul or long haul) is required to confirm a booking.
Bookings are subject to availability and written confirmation from our side.
Payment Policy
Payments must follow the applicable Short Haul or Long Haul payment schedule.
Accepted payment methods: bank transfer, credit/debit card, UPI, or approved online gateways.
All payments must be made in INR. For international tours, the prevailing exchange rate on the date of final payment will apply.
Failure to make timely payments may result in cancellation as per the cancellation policy.
Government Compliance
As per Indian Government regulations, TCS (Tax Collected at Source) may apply on international packages exceeding the prescribed threshold.
Clients are responsible for compliance with all applicable taxation rules.
4. Pricing & Inclusions
Prices are based on current exchange rates, airfare, and hotel availability. Fluctuations may affect the final cost.
Package inclusions will be clearly stated in your confirmation voucher. Items not specified (e.g., meals, tips, entry fees, etc.) are considered exclusions.
Prices are subject to change during peak seasons, festive periods, or due to supplier/airline revisions.
5. Cancellations & Refunds
By Client
All cancellations must be made in writing (via email or official communication).
Cancellation charges apply as per the Short Haul or Long Haul Cancellation Policy.
Wherever possible, a credit note may be issued for the balance amount (after deducting applicable charges) for future use.
By Loop My Travel
In rare cases where tours are cancelled due to force majeure (natural disasters, political unrest, government restrictions, etc.), we will provide alternative arrangements, credit notes, or partial refunds (subject to third-party policies).
Refunds
Refunds (if applicable) will be processed within 7–10 working days.
Non-refundable services (airfares, visas, attraction tickets, etc.) are strictly non-refundable.
6. Itinerary Changes
Loop My Travel reserves the right to modify itineraries due to weather, operational needs, or unforeseen circumstances.
For group tours, a minimum number of participants is required. If not met, alternate departure dates or credit/refunds will be provided.
On-tour adjustments may be made for safety or practical reasons without prior notice.
7. Travel Documents & Responsibility
Clients are solely responsible for carrying valid passports, visas, travel insurance, and other required documents.
Passports must be valid for at least 6 months from the date of return.
For domestic trips, a valid government-issued ID is mandatory.
Visa assistance may be provided, but approval decisions rest solely with the consulate/embassy.
8. Travel Insurance
We strongly recommend all travelers purchase comprehensive travel insurance covering medical emergencies, cancellations, baggage loss, and trip interruptions.
Loop My Travel will not be liable for costs or damages arising from a lack of travel insurance.
9. Airline & Hotel Policies
Airlines
Flight delays, cancellations, or baggage issues are the responsibility of the airline.
Any fare/tax/fuel surcharge changes before ticket issuance must be borne by the client.
Low-cost carriers may not include meals or additional services.
Hotels
Standard check-in: 3 PM | Standard check-out: 11 AM (may vary by property).
Early check-in/late check-out may incur additional charges.
Hotels reserve the right to charge for damages, minibar usage, room services, or city taxes (if applicable).
Substitutions may occur for operational reasons, with prior notice wherever possible.
10. Health, Safety & Conduct
Clients must disclose any pre-existing medical conditions at the time of booking.
Adventure activities (trekking, biking, water sports, etc.) are undertaken at the client’s own risk.
Clients must follow local laws, customs, and group tour rules. Misbehavior may result in termination of services without refund.
11. Liability & Limitations
Loop My Travel acts as an intermediary between clients and third-party providers (airlines, hotels, transporters, etc.). We are not liable for delays, damages, or losses caused by third parties.
We are not responsible for the loss of passports, IDs, or personal belongings during travel.
In cases of force majeure (natural disasters, strikes, pandemics, etc.), Loop My Travel is not liable for compensation but will assist with alternate arrangements where possible.
12. Governing Law & Jurisdiction
These Terms shall be governed by the laws of India.
Any disputes shall fall under the exclusive jurisdiction of the courts in [Insert City, e.g., Delhi/Mumbai based on office location].
13. Amendments to Terms
Loop My Travel reserves the right to amend these Terms at any time. Updated policies will be posted on our website. Continued use of our services shall constitute acceptance of such changes.
